- Call records: phone numbers, call duration, transcripts, and AI summaries of calls handled by your AI receptionist
- Booking data: appointment details including customer names, phone numbers, and service information
- Usage data: how you interact with our dashboard and services
- Log data: IP addresses, browser type, pages visited, and timestamps
Information from third parties:
- Google Calendar: calendar events and availability data when you connect your Google account
- Twilio: call and SMS data processed through our telephony infrastructure
2. Call Recording
Calls handled by our AI receptionist may be recorded for the following purposes:
- Quality assurance and service improvement
- Accurate booking confirmation and dispute resolution
- AI training and performance optimization
- Compliance with legal requirements
Callers are notified at the beginning of each call that the call may be recorded. By continuing the call after this notice, callers consent to the recording.
Call recordings and transcripts are retained based on your subscription plan (30 days for Starter, 90 days for Pro, unlimited for Elite) and are accessible through your owner dashboard.
We comply with all applicable federal and state recording laws, including two-party consent requirements in states such as California, Florida, New York, and Illinois.
3. How We Use Your Information

- To send appointment confirmation and reminder SMS messages to your customers

4. How We Share Your Information
We do not sell your personal information. We do not share or sell phone numbers or SMS consent data to third parties for marketing purposes. We share data only with the following trusted service providers:
- Stripe — payment processing
- Twilio — phone calls and SMS messaging
- Retell AI — AI voice processing
- Google — calendar integration (when connected)
- Supabase — secure database hosting
- Vercel — application hosting
We may also disclose your information if required by law or to protect the rights and safety of our users.
5. Your Customers Data
SMS Messaging & Consent
When you sign up for Auto Reception Desk, you may opt in to receive SMS text messages, including appointment confirmations and reminders, sent on behalf of your salon to your customers. By checking the SMS consent box during onboarding, you agree to receive these messages.
- We will only send SMS messages to customers who have provided their phone number through the booking process.
- Customers can opt out at any time by replying STOP to any message.
- We do not sell or share phone numbers with third parties for marketing purposes.
- Message and data rates may apply.
- SMS messaging is provided through Twilio in compliance with carrier requirements.
When your AI receptionist handles calls, it collects information from your customers (such as name and phone number) on your behalf. You are responsible for ensuring that your customers are aware that their calls may be handled by an AI system and that their information is being collected.
We process your customers data solely to provide the service to you and do not use it for our own marketing purposes.
6. Data Retention
- Call history is retained based on your plan (30 days for Starter, 90 days for Pro, unlimited for Elite)
- Account data is retained for the duration of your subscription plus 30 days after cancellation
- Billing records are retained as required by law
7. Data Security
We implement industry-standard security measures to protect your data, including encryption in transit and at rest. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
8. Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict processing of your data
